Operations and Office Manager

 

Office management (in coordination with US-based Regional Support Managers)

• Manage general office organisation, welcome guests, book meeting rooms, accept deliveries, and handle postal duties (expectation to be in the office at least 4 days per week).

• Act as the point of contact and liaison with the office management company.

• Organise internal events, such as firm meetings, social events, holiday parties, and training events.

• Handle office purchases, manage office supplies, and review/approve office vendor invoices.

• Other ad hoc UK office needs and requirements.

 

Human Resources (in coordination with US-based HR team)

• Serve as the primary UK contact for new hire setups, manage new hires’ first day, and handle the deactivation of terminated employees.

• Act as the primary UK contact for employee questions about pension, health, or other benefits policies. Defer any more complex questions to the US HR team.

• Assist with office-wide communications regarding policies, reminders, and other messages.

• Coordinate project schedules and resource management using Retain system.

• Coordinate key talent agenda events, such as performance review roundtables, and assist employees with using the performance review system.

• Schedule and coordinate recruitment interviews.

• Other ad hoc UK HR needs and requirements as directed by US HR team.

 

Finance & Accounting (in coordination with US-based Finance team)

• Assist employees with using Sales Force CRM systems for timesheets, expenses (Expensify), and project management.

• Serve as the main UK contact for UK-based third-party contractors, including handling contractor agreements, policy questions, and timesheets.

• Anti-money laundering regulations compliance – onboarding and ongoing compliance for all UK clients (system driven, but administrator of the system)

• Other ad hoc finance assistance at the direction of the US finance team.

 

Marketing (in coordination with US-based Marketing team)

• Provide ad hoc support for business development and marketing campaigns.

• Organise external marketing events for clients and prospects.
